Influcoach Privacy Policy

1. Introduction and About Influcoach

Influcoach Inc. ("Influcoach," "we," "our," or "us") operates the Influcoach fitness coaching application available at influcoach.app, with our marketing site at www.influcoach.app. We are a company in Canada, with our mailing address at 2000 Thurston Dr, Unit 5, Ottawa, ON K1G 4K7, Canada.

Influcoach is an AI-powered fitness coaching application. We generate personalized training, nutrition, and supplement plans for you, and we provide an in-app coach chat. To do this, we collect and process information about you, including sensitive health and fitness information.

This Privacy Policy explains what information we collect, why we collect it, who we share it with, where it is processed, how long we keep it, and the rights you have over it. It applies to your use of the Influcoach application and our marketing site. It works alongside our Terms of Service, which govern your use of the service.

By creating an account or using Influcoach, you acknowledge that you have read and understood this Privacy Policy.

2. Information We Collect

We collect the following categories of information.

Account and identity information. When you register, we collect your first and last name, email address, and a password. If you sign in with Google, we receive basic profile information through Google OAuth instead of a password. We use Supabase for authentication and account management.

Health and fitness information. During onboarding and ongoing use, we collect information you provide about your body and your training. This includes your height, weight, body fat percentage, age, training goals, current physique, target physique, injuries, medical conditions, allergies, medications, dietary restrictions, sleep, and stress. This is sensitive information, and we describe how we handle it in Section 3.

Usage and app activity. We collect the content you create and generate in the app. This includes your messages to your AI coach and the responses generated for you, your generated training, nutrition, and supplement plans, and your logged workouts, such as sets, reps, weights, and personal records.

Payment information. When you start a trial or subscription, payment is processed by Stripe. Stripe collects your payment card details directly. Influcoach does not see or store your full card number. We receive limited billing metadata from Stripe, such as your subscription status and the last four digits of your card, so that we can manage your account.

Support information. If you contact us for support, we collect the content of your request and any screenshots you choose to upload.

Technical information. We collect authentication tokens and basic technical data needed to operate the service securely. On our marketing site only, we use privacy-friendly analytics, described in Section 11.

3. Health and Sensitive Personal Data

Influcoach collects sensitive health and fitness information so that your AI coach can build and adapt your plans and respond to you in chat. The specific fields are listed in Section 2.

Why we collect it. We use this information for one purpose: to generate and personalize your training, nutrition, and supplement plans, and to give your AI coach the context it needs during chat. We do not use your health information for advertising, and we do not sell it.

How we store it. Your health and fitness information is stored in our database, hosted on Supabase (PostgreSQL) in the United States, and protected by row-level security so that your records are accessible only to your own account and to the limited processing described in this policy.

Legal basis. Where the law requires a legal basis to process sensitive information, for example under the European Union's General Data Protection Regulation, we rely on your explicit consent, which you provide when you submit this information to receive your plans. Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), we collect and use this information with your knowledge and consent and only for the purposes described here. You can withdraw your consent as described in Section 9.

Influcoach is not a healthcare provider. Influcoach is a consumer fitness application, not a medical or healthcare service. We are not a HIPAA-covered entity, and the information you provide is not protected health information under HIPAA. The plans and coaching we provide are general fitness and educational information, not medical advice. Please review the related disclaimer in our Terms of Service, Section 7.

4. How We Use Your Information

We use the information we collect to:

  • Generate your personalized training, nutrition, and supplement plans
  • Power your in-app coach chat and adapt your plans over time
  • Create and manage your account and authenticate you
  • Process your trial and subscription, and send you transactional account and billing notifications by email
  • Provide support when you contact us
  • Maintain the security, reliability, and integrity of the service
  • Improve our product using aggregated and anonymized information that does not identify you

We do not sell your personal information, and we do not use your individual information to train AI models. See Sections 5 and 6.

5. AI Processing and Third-Party Subprocessors

To operate Influcoach, we share limited information with trusted service providers (subprocessors) who process information on our behalf under contract. Your information is processed in the United States.

Anthropic, PBC (AI processing). Influcoach uses Anthropic's commercial API (Claude) to generate your personalized training, nutrition, and supplement plans, and to power the in-app coach chat. Under Anthropic's Commercial Terms of Service, Anthropic contractually does not train its AI models on your data submitted via the API. Your data is processed only to generate responses to your inputs and is not used to improve Anthropic's models. The information sent to Anthropic includes your intake and health details, your chat messages, and your generated plans, as needed to produce your responses. For the limitations that apply to AI-generated content, see our Terms of Service, Section 7.

Stripe (payments). Stripe processes your subscription payments through Stripe Checkout. Stripe collects your card details directly, and Influcoach never sees or stores your full card number. Stripe is certified as PCI-DSS Level 1. Stripe's handling of your information is governed by Stripe's privacy policy at https://stripe.com/privacy.

Supabase (authentication, database, and storage). Supabase provides our authentication, database, and file storage. It stores your account, health and fitness, plan, chat, and workout data, and any support screenshots you upload. Supabase data is hosted in the United States.

Vercel (hosting). Vercel hosts the Influcoach application and our marketing site. On the marketing site only, we use Vercel Analytics, as described in Section 11.

Google (sign-in). If you choose to sign in with Google, Google processes your authentication through Google OAuth and provides us with basic profile information.

Resend (email delivery). Resend delivers our transactional emails, such as account, security, and billing notifications. It receives your email address and account-linked context needed to send these messages.

Upstash (caching). Upstash provides a caching layer that improves performance. It processes session and cache data, and it does not receive identifying health information.

Voyage AI (embeddings). Voyage AI generates text embeddings that enable your AI coach to retrieve relevant knowledge. It processes the text submitted for embedding, and it does not receive identifying health information.

We share information with these subprocessors only as needed to provide the service. We may also disclose information where required by law, to enforce our terms, or to protect the rights, safety, and security of our users and of Influcoach.

The plans and coaching that Influcoach generates are produced through automated, AI-based processing of the information you provide. These outputs are informational, and we do not use them to make decisions that produce legal or similarly significant effects about you. If you have questions about this processing, you can contact us using the details in Section 13.

6. How We Share Your Information

We do not sell, rent, or trade your personal information. We do not share your personal information with third parties for their own marketing.

We share information only with the subprocessors listed in Section 5, under contract and limited to what is needed to operate Influcoach, and where we are required to do so by law. As of the date of this policy, the Influcoach application does not run advertising trackers such as Meta Pixel or Google Analytics, so our statement that we do not sell your data is accurate and current.

7. Data Storage, Security, and Retention

Your information is stored on Supabase (PostgreSQL) in the United States, protected by row-level security, and encrypted in transit. We apply reasonable technical and organizational measures to protect your information. However, no method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a security breach that affects your personal information, we will notify you and the relevant authorities as required by applicable law.

We retain your information for different periods depending on its type. Account, health and fitness, plan, chat, and workout information is retained for as long as your account is active and as needed to provide the service. When you delete your account, we delete this information as described in Section 9. Limited billing metadata is retained as long as needed to manage your subscription and to meet financial record-keeping obligations. We may retain aggregated and anonymized information, which does not identify you, for product analytics and improvement, and we may retain limited records where the law requires it.

8. International Data Transfers

Influcoach is operated from Canada, and your information is processed in the United States by the subprocessors listed in Section 5. If you access Influcoach from outside the United States, including from the European Union, the United Kingdom, or elsewhere, you understand that your information will be transferred to and processed in the United States, where data protection laws may differ from those in your jurisdiction. Where required, we rely on appropriate safeguards and on your consent for these transfers. Influcoach's handling of Canadian personal information is governed by PIPEDA.

9. Your Privacy Rights

Depending on where you live, you have rights over your personal information. We honor these rights for all users, regardless of location.

You have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate or incomplete information
  • Request deletion of your personal information
  • Request a copy of your information in a portable format
  • Withdraw your consent to our processing of your information, including your sensitive health information

If you are in Canada, these rights are provided under PIPEDA, including the principle of limiting retention. If you are in the European Union or the United Kingdom, you have rights under the GDPR, including access, rectification, erasure, portability, and the right to withdraw consent. If you are a California resident, you have rights under the CCPA, including the right to know what we collect, the right to delete, and the right to opt out of the sale of your personal information. As stated in Section 6, we do not sell your personal information. You also have the right to lodge a complaint with your local data protection authority, such as the Office of the Privacy Commissioner of Canada, if you believe we have not handled your personal information properly.

How to delete your account and data. To request deletion or to exercise any of your rights, email us at support@influcoach.app. When you delete your account, we delete your authentication record and cascade the deletion to your associated personal information within 30 days. We may retain aggregated and anonymized information that does not identify you. To reduce trial abuse, we may prevent re-registration with the same email address for a limited period after deletion, as described in our Terms of Service. We will respond to your request within the timeframe required by the law that applies to you.

10. Children's Privacy

Influcoach is intended only for users who are at least 18 years old, or the age of majority in their jurisdiction, whichever is higher. We do not knowingly collect personal information from anyone under 18. If we learn that we have collected information from a person under 18, we will delete it. If you believe a minor has provided us with information, please notify us using the contact details in Section 13.

11. Cookies and Tracking Technologies

In the Influcoach application, we use only essential cookies and similar technologies needed to keep you signed in and to operate the service securely. We do not use advertising or cross-site tracking cookies in the application.

On our marketing site at www.influcoach.app, we use Vercel Analytics, a privacy-friendly analytics tool that measures aggregate page views and traffic sources. It does not track you across other websites, and it does not link that data to your identity.

Our marketing site and the Service may contain links to third-party websites or services that we do not control. This Privacy Policy does not apply to those third parties, and we encourage you to review their own privacy policies.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. If we make a material change to how we handle your information, we will take reasonable steps to notify you and, where appropriate, ask for your consent again. Your continued use of Influcoach after an update means you accept the revised policy.
